WorkSpace Management
Matter-centricity, when planned for and implemented well, can have a tremendous and direct positive impact on revenue, productivity, and accountability. You may have heard examples of firms creating a matter-centric environment with WorkSite to facilitate success, including growth on an international scale, significant billability and efficiency gains, or near 100% compliance with security and document retention policies.
With potential gains like these, what firm wouldn't want to take advantage of a matter-centric environment? Yet, like any change, implementation can be challenging and disruptive. Matter-centricity is not merely a technical project; it is a business process project that requires planning, buy-in and training on an organization-wide level.
Autonomy iManage WorkSite provides the industry's best foundation for a matter-centric organization. In our decade of experience in facilitating matter-centric environments, we have identified two high-level keys to managing your matter-centric WorkSite environment:
Flexibility
Your firm must have the ability to adapt to change in a variety of forms - to meet the different needs of users and groups, and their idea of what they need versus the reality of how they use WorkSite; to accommodate for growth, mergers and acquisitions, employee and partner turnover; to add and integrate other mission critical systems into the business process, and more.
We have seen the pain of inflexible systems first hand. There are few implementation frustrations greater than realizing, after months of training and work, that you need to make system changes that require you to start the entire process all over again. Or, imagine having to push a unified document structure and viewing policy onto different user groups with different needs, only to see system use plummet. We have even seen profitability erode because accounting and timekeeping databases were isolated from WorkSite.
To achieve true matter-centricity, you must have the ability to adapt WorkSite to meet your business needs, your system needs, your user needs. DocAuto products are designed to give you ultimate flexibility to extend, enhance, and ignite WorkSite.
Control
Matter-centricity is really a move to an "unstructured" environment, when compared to yesterday's content management systems. While liberating and ultimately productive, it is essential for organizations to establish control over this open, matter-based environment. User behavior and processes (or lack thereof) are as diverse as your workforce, and it is the firm's responsibility to ensure your policies and procedures are both efficient and enforced.
For instance, how do you make sure your users and groups can view matters the way they want to see them to be the most productive? How do you make sure the right people are working on any given matter, and that they can access the right content within that matter? Can you distribute matters to users that will be working on them in the future? How do you ensure critical items are escalated to the attention of the right people? How do you make sure content keeps the right metadata and security settings, regardless of where it is moved? How do you age matters, or create parallel WorkSpaces? How do you monitor the usage of your matter-centric environment?
DocAuto products provide clear answers to these, and a host of other critical control questions. We have listened intently to our customers over the years, and have developed responsive products that serve your business needs.

Distributed System Connector
The Distributed System Connector for WorkSite is a collection of dozens of new commands to completely reroute all of the native WorkSite document operations to handle them better in multi-database environments. This especially applies in non-meshed Parallel environments, or environments where there are shortcuts to documents in folders where the physical document resides on a different server/database than the server to which the user is currently logged in.
This product can be especially helpful for firms that have multiple databases in multiple offices or regions around the world, and their users need to frequently access documents in different WorkSite databases and servers. The Distributed System Connector allows for more efficient use of network and WorkSite system resources by allowing users to seamlessly connect as needed, marshal those connections, and dispose of them when no longer needed. The Distributed System Connector also provides unique utilities for managing document shortcuts in distributed environments.

Refiling Server
Refiling Server is the optimal tool for finely-controllable server-side refiling in WorkSite. Replace inefficient, arbitrary, and possibly dangerous user-controlled desktop refiling with faster, more efficient, more powerful server-side refiling.
Refiling Server allows the metadata and security on documents to be refiled as they are added to or moved between folders. Refiling Server Enterprise extends these refiling capabilities to matter-centric structures. With fast, consistent and efficient options for managing how, when and why items are refiled, Refiling Server optimizes system performance and increases control.

WorkSpace Manager
WorkSpace Manager is the industry-leading tool for implementing and maintaining matter-centric architectures in WorkSite. No other product is designed to manage every aspect of the matter management architecture within WorkSite.
No other product allows you to extract and combine data from other internal firm applications and conveniently display it within the matter-centric interface. WorkSpace Manager bridges WorkSite with other mission critical systems (e.g., accounting, timekeeping, or matter management databases) for continuous synchronization. Control WorkSpace creation, distribution, security, updates, provisioning, archiving, and more with speed, power and flexibility.

WorkSpace Manager Desktop
WorkSpace Manager Desktop is a suite of client-side add-ins to DeskSite and/or FileSite that allow users to perform "managed" operations within WorkSite in Matter-centric or non-Matter-centric environments, or as part of the migration or conversion of an environment to one that uses WorkSpaces.
All of these utilities can be run as a "proxied" user, using secured credentials, so that users without WorkSite Role Privileges can still use the tool to perform necessary operations. A simple, user-friendly interface can be pre-configured and locked down for easy use by non-technical users. Most of these applications are completely client-side applications, and require no dedicated hardware, servers, or system modifications. All of these utilities work with existing WorkSpaces regardless of how they were created.
